How to Set Up an AI Phone Receptionist in 5 Minutes

April 15, 2026 · 5 min read

An AI phone receptionist answers your business calls for you. It talks like a person, knows your services, books appointments, and logs every conversation. No hardware. No call center. No learning curve.

Setting one up used to be a multi-week project. Now it takes about five minutes. Here's what the process actually looks like, step by step, using Yapper.

Step 1: Enter your website URL

Go to the onboarding page. Paste the URL of your business website in the box. That's it for this step.

Behind the scenes, Yapper reads your website and pulls out everything it needs. Your services. Your pricing tiers. Your hours. Your service area. Your phone number. Your voice.

If you don't have a website, you can type your business info in directly. It takes a couple of extra minutes but it works the same.

Step 2: Review what it learned

Yapper shows you what it pulled off your site. Business name, services, pricing, hours, service area. You look it over and fix anything that's wrong.

Most of it will be right. Sometimes the pricing tiers need a tweak. Sometimes there's a service you do that isn't on your website yet. This is your chance to add it.

Spend two or three minutes here. It's the most important step. The better your info, the better your AI will sound on a call.

Step 3: Pick a plan

Two plans. Starter is $199 a month. Pro is $349 a month. The difference is call volume and a few advanced features like calendar integration.

Both come with a 7-day free trial. No credit card to start the trial.

Most small shops do fine on Starter. If you're already doing heavy call volume, go Pro.

Step 4: Forward your calls

This is the part people worry about, and it's actually the easiest step.

Yapper gives you a phone number. You set up call forwarding on your existing business line so that calls forward to that number. On most phones, it's a three-digit code followed by the number. On most VoIP systems, it's a setting you toggle in the admin panel.

Yapper walks you through the exact code for your carrier. If you're on Verizon it's one thing, if you're on a landline it's another. It's one step, 30 seconds.

Now, when someone calls your business, it rings your line first. If you don't pick up in three rings, it rolls to Yapper. You never miss a call again.

Step 5: Test it

Call your own business from your cell phone. Don't answer on your business line. Let it roll to Yapper.

You'll hear your AI receptionist pick up. It'll sound like a real person. It'll ask how it can help. Pretend to be a customer. Ask for a quote. Ask about pricing. Book an appointment.

Hang up. Open your dashboard. You'll see a full transcript of the call, a summary, and the appointment on your calendar if you booked one.

That's the entire setup.

What happens after

From now on, every call you don't answer rolls to Yapper. It answers, has a real conversation, books jobs, and logs everything.

You get a text or email with a summary after every call. You open the dashboard when you want to see details. You don't have to do anything else.

If you want to change something about how it talks, or add a service, or update your pricing, you do it in the dashboard. Changes go live immediately.
